Parent To Do Checklist For This Week

Super Regionals

Super Regionals Trip To Indianapolis

Hello Families! The week is here!  Our first BOA Competition of the season.  We are so excited to share our 2023 Competition Show with the world and show off the talents and hard work of our students, directors and staff!  We know they are going to shine on this awesome stage at Lucas Oil Stadium!  Now, down to Business!  Below you will find all of the information you need to know to prepare your student to have the best travel experience possible.

ITINERARY

IMPORTANT CHANGES TO NOTE!

  • Arrival time at W2W for Leadership team on Friday, 10/20/23 is now 7:00 AM to tape field!
  • Arrival time for rest of Band and Guard on Friday, 10/20/23 is now 7:30-7:45 AM!
  • Spirit Sendoff on Friday, 10/20/23 is now 10:45-11:00 AM!
  • Return location on Friday, 10/20/23 is now MASON HIGH SCHOOL! All students must plan to be dropped off at W2W in the AM and picked up at MASON HIGH SCHOOL in the PM.  NO CARS MAY BE LEFT AT W2W FOR THE DAY!  THEY HAVE A VERY LARGE FESTIVAL ON FRIDAY EVENING! (Chaperones:  We will talk more about this plan for cars on Tuesday at our meeting!)

PLEASE NOTE!  The Itinerary is subject to change and we will communicate any important changes as soon as we know of them!

STUDENT DROP OFF/PARKING INSTRUCTIONS

The Band will be departing from Wall 2 Wall/Let’s Play Sports located at 846 Reading Rd (Rt. 42), Mason, OH  45040 on BOTH DAYS (Friday and Saturday) and returning to Mason High School Bus Circle (Friday Night and Sunday Afternoon).  

Therefore NO ONE WILL BE ABLE TO LEAVE THEIR CARS AT W2W due to a very large event they are having on Friday and Saturday evenings.

PLEASE NOTE: You MUST make plans to drop off your student at W2W/Let’s Play on Friday and Saturday morning and pick them up at Mason High School Friday Night and Sunday afternoon (see Itinerary).

Students may park cars in their SCHOOL ASSIGNED spot at MHS on Friday and/or Saturday morning prior to getting dropped off at W2W to have access upon returning home to drive home!  Please MAKE A PLAN to ensure you are on time on Friday morning.

Chaperones!  We will discuss the parking plan for you at our meeting on Tuesday, 10/17 at 7pm in the MHS Staff Dining Room!

PACKING LIST

NOTE:  Each student will receive THREE travel tags for instrument/equipment bag, day bag and luggage on Thursday evening.

  • Instrument/Flags/Rifles with travel tags
  • Backpack or day bag for bus with travel tag (will receive Travel Lanyard on Friday upon loading buses.)
  • Water Jug FILLED ready for rehearsal each morning.
  • SAT Overnight Bag - will go under the bus on Saturday. MAKE SURE IT HAS A TRAVEL TAG SECURED!!
  • Performance Clothes (including WHITE underlayers!); Guard - Undergarments , Hair Supplies, Makeup and Tights!
  • DEODORANT
  • Casual Outfits, socks, underwear, shoes, for Friday and Saturday (to change into out of uniforms).
  • Mason Band Jacket/ Sweatshirt/hat
  • Overnight gear and toiletries (toothbrush, deodorant, brush, etc,) 
  • Portable Charger for Phone
  • Snacks for bus/hotel - We will have VERY LIMITED water bottles available on the bus or at the hotel so please ensure students have a water bottle to fill.  Ice machines are available at the hotel.
  • Clear Bag (if needed) and Spending money for Lucas Oil  (Cashless so credit card or cash to card station required).  Travel lanyard can be used to store money, credit cards and hotel key.

LUCAS OIL STADIUM INFO

  • Lucas Oil Stadium has a clear bag policy. Clear bags cannot exceed 12”x 6” x 12” or a 1-gallon size freezer bag.
    • Mason Bands Spirit is selling stadium-compliant clear bags.  Please see Gina Marshall or email her at spirit@masonbandboosters.com
    • Small clutch bags or a purse approximately the size of a hand are allowed.
  • Medication/medical equipment bags are allowed but will be searched. (Students may not carry their own medication unless they have submitted appropriate documentation; please see below.)
  • Cameras are allowed but no tripods or video cameras.
  • Students will be provided with a passport-sized lanyard to store cash/cards/etc
  • Lucas Oil Stadium is a cashless facility.  
    • Please keep this in mind when spectating and sending money for concessions/souvenirs with yours student.  
    • There are cash-to-card machines located throughout the stadium.

HOTEL 

  • Friday Night Return to Mason High School
  • Saturday Night: Indianapolis Marriott Downtown, 350 West Maryland street, Indianapolis, Indiana 46225
  • Will return to Mason High School on Sunday

TRAVEL WAIVERS 

If you are planning to sign your student out in Indianapolis, you will need to complete the form below by 11:59pm TONIGHT!  Click HERE for the link to the form.  Please be sure to join the Remind group as indicated in the form (For students and parents checking out in Indianapolis ONLY).

TICKETS

We encourage family and friends to make the drive to the Indianapolis Super Regional to cheer on the band!  This is a ticketed event and tickets may be purchased on the Bands of America website.  See links to purchase tickets below:

MEDICATIONS

Please contact medicalsecretary@masonbandboosters.com or registration@masonbandboosters.com with any questions or concerns regarding prescribed or over the counter medication during the trip. Please note that we will not be able to dispense over the counter medications to your student such as Ibuprofen, Tylenol, or Benadryl unless you have filled out the appropriate forms that are signed both by a parent or guardian and a physician.

Indy Super Regional Travel Waiver Remind Group (For those picking up students in Indy on 10/21-10/22 ONLY):

BAND SEND OFFS FOR SUPER REGIONALS

The Send-off is an opportunity for families to cheer on the Band as they drive off in the buses to Indianapolis. This is optional, but also A LOT OF FUN! 

Bring anything you can think of to send them off in Style! Ideas include : fatheads / signs / flags / balloons / noise makers 

** We are there to cheer them on and make them feel like the SUPERSTARS that they are!! EVERYONE IS WELCOME - Family, Friends, Grandparents, Aunts, Uncles, Etc. We would love to see as many people as possible.

Two chances:

  • Friday, October 20 - in the Wall2Wall Parking Lot
    • 10:45-11:00 AM
  • Saturday, October 21 - in the Wall2Wall Parking Lot 
    • 12:45-1:00 PM

IMPORTANT NOTE: Families cannot go into Wall2Wall during this time. There are a lot of moving parts to get the band on the buses and moving ON TIME. We are there to cheer them on, but we cannot get in the way. Thanks!!

We don’t usually plan anything, but many parents bring items to welcome them home from Indy, too.

Important Message

Must Read-Important Medication Rules

Because of a few recent events involving student possession of prescription and over-the-counter medications, there is a need to revisit policies and guidelines as defined in the Ohio Revised Code (ORC 3313.713, 3313.716, 3313.718), Mason High School Handbook, and Mason Band Medication Policy. It is important to note the guidelines apply to both prescription and non-prescription medications.

1) Students are not to be in possession of any medications unless the medication is an emergency medication (EpiPen, Metered Dose Inhaler, or Glucagon). In order for a student to carry an emergency medication a Dispensing Medication at School (DMS) form must be signed by both the physician and parent and uploaded here. The physician must also clearly indicate the student is capable of possessing and using the medication appropriately.

2) All prescription or non-prescription medications for students require a Dispensing Medication at School (DMS) form signed by both the physician and parent to be uploaded here. Students may not carry non-emergency medications. 

3) These rules apply at school or at any activity, event or program sponsored by or in which the student’s school is a participant. This includes marching band rehearsal, band camp, competitions, football games, travel, etc. School administrators may determine appropriate corrective measures when students are in violation of the policy or Student Code of Conduct.

4) Medication Drop-Off Events are scheduled prior to travel and band camp since your student may not carry or possess prescription and non-prescription medications. A fully completed DMS form must be on file prior to dropping off medication. MSBA

Volunteers Needed For MSBA Regional Championships Saturday, November 4th

Once again we are in need of volunteers for the Mid-States Band Association (MSBA) competition taking place on our campus Saturday, November 4th.  Essentially it is a repeat of the Mason Invitation but on a much smaller scale.

As before, we cannot pull off an event of this magnitude without the help of every single band family. This is another important event for our program, community, and most importantly the students who benefit from its success. These are a few of the many reasons we include it as a parent volunteer requirement in our Commitment & Financial Agreement Form.

Below you will find a list of the links to sign up for each volunteer area.  Job descriptions can be found there as well.  Slots are first come first serve so the earlier you sign up, the greater the chances you find an area that suits you best.

Mental Health

Mental Health Matters To Us

As the season ramps up and the demands of school typically increase, we want to make sure all of our families have access to any mental health or wellness resources they may need. Details can be found in the Resources for Mason Families page.  We are also fortunate to be working in partnership with the High School Psychologist, Mr. Schlaeger, who will be serving as our mental health liaison as we travel.  He can be reached at schlaegerj@masonohioschools.com. Thank you to the Langbein family who made this partnership possible through the Jake Langbein Fund. We appreciate their continued efforts to make mental health a priority for our band.

Every tip SafeSchools Alert receives about our district is immediately logged in the system and our administration is notified so that they can investigate and take appropriate action. And, tips may also be submitted anonymously if you prefer.

Disneyland

Disney And Band Fest Update

The Band’s Rose Parade Committee received official confirmation this week from the Tournament of Roses Music Committee that we will indeed be performing in Bandfest on December 29th. The event begins at 2:00pm. We do not yet have confirmation of performance order for our block.This does mean we will be marching through Disneyland on December 30th. We will update the itineraries with more exact times of our band’s performances on those days as they become available.

Senior Night

Senior Night Thank You!

Thank you everyone for coming to our Senior Night Family Showcase on Friday!  It was so great to see so many there to celebrate our band and our Seniors. It was truly a wonderful evening!  Special thanks to our volunteers who helped arrange dinner, decorate, arrange families on the field, take photos, and the Senior parents who served them dinner! We also want to give a huge thanks to Bridget Siedlecki and Karyn Baioni for their incredible job of organizing such a fabulous evening!  Thanks as well to Gina Marshall for making all of the lovely corsages. Looking forward to the remainder of your final marching season and so excited to see where you take this show!

We did not sell quite enough tickets to give away the jeep, but we were able to award our Grand Prize winner a very nice monetary prize.  All winners have been notified. Cincy Sammy’s Proceeds Will Benefit The Jake Langbein Memorial Fund 10/17-10/21

Cincy Sammy’s in downtown Mason does Give-Tober in the month of October. We are excited to share that this year October 17-21 will benefit the Jake Langbein memorial fund for mental health training and scholarships for Mason Band students!!  Parents make your plans now to pick up cookies that week to put in goody bags for students for the BOA super regional trip, and some for yourself to enjoy on the drive to Indy as well! Students- this is a great week to have some section team building while feasting on delicious cookies, sundaes, or milkshakes!

Hope to see lots of you at Cincy Sammy’s that week supporting a great local business who is generously giving back to the community.

Attention Band Aids and Chaperones

Please mark October 24, 2023 at 6:30pm on your calendar.  We will be having a special mental health training session for our band aids and chaperones in the Mason Intermediate cafeteria.  Please check your messages for additional details that were sent earlier this week. Please RSVP HERE by next Sunday, October 15, 2023 indicating your plans for completing the training.  This training is MANDATORY for our Band Aids and Chaperones and Optional for anyone else who wishes to attend.

Time To Order Marching Band Memory Books

Each year, our talented photo volunteers put together a beautiful memory book filled with the many moments of our season including rehearsals, football games, parades & competitions. This is a beautiful 8.5x11 inch soft cover photo book with about 90 pages. Orders for books without custom pages must be received by January 10, 2024.

You have the option of adding custom pages to your book that you design with your own pictures. The first two custom pages are free, and additional pages are available for a small additional cost. If you choose this option, you agree to have your child’s name and your email address shared with the book company, Tree Ring, so you can personalize the pages in the book associated with your student’s name.

This option is only available for books ordered by October 25, 2023 and all pages must be finished by January 10, 2024 along with final book orders.

Rose Parade Trip Gala Only Tickets Now Available For Purchase

Due to high demand, families now have the option to purchase individual tickets to the Gala event taking place on January 1, 2024 at the SoFi Stadium in California. Tickets are $169 per person and can be purchased HERE. Please note that the price is set by Bob Roger’s Travel. This option will be available only through October 15th. When you go to the above link and log into your account or create a new one, you will see 2 options.  You will need to click on the Fan Gala Celebration Dinner Only option.

This is only for individuals who are not purchasing a Ticket Only package or the Friends and Family Package. In other words this is for anyone who is planning their entire trip to California themselves but would still like to attend the Gala.  This event is not the low key New Year’s Eve celebration that students and those with the Friends and Family Package will celebrate at their respective hotels.
