Operating Committees Within The Band Boosters Organization:

The following describes all of the operating committees currently available within the band boosters organization. Please contact Boosters President, Diane Pierson at eilerman55@aol.com or Recording Secretary, Daphne Wedig-Griffis at dwedig@northlich.com for any additional information or to volunteer to help with any of these committees … remember … the Band Boosters Needs You!!!

Ways and Means Committee:

The Ways and Means Committee shall:

  1. Be composed of at least three (3) members with the Vice President of Fundraising serving as the Chairperson.

  2. Co-ordinate the fund raising efforts of the Mason Band Boosters, Inc.

  3. Perform all duties assigned by the President or the Executive Committee.

  4. Perform all duties designated by the Constitution, By-Laws, and Standing Rules of the Mason Band Boosters, Inc.

Communications Committee:

The Communications Committee shall:

  1. Be composed of at least three (3) members with the Recording and Communications Secretary as Chairperson.

  2. Prepare and publish a monthly newsletter to be distributed to all band members’ homes via e-mail and published on the band website.

  3. Be responsible for obtaining photos of band activities for publication in the newsletter

  4. Be responsible for creating, updating and maintaining a website for the Mason band boosters to include, but not be limited to, information about the boosters and the band, a calendar of activities, copies of forms used by the band program, information about fundraising and other activities, and the band newsletter.

  5. Develop and maintain an updated database of marching and concert band members

  6. Perform all duties assigned by the President or the Executive Committee.

  7. Perform all duties designated by the Constitution, By-Laws, and Standing Rules of the Mason Band Boosters, Inc.

Uniform Committee:

The Uniform Committee shall:

  1. Be composed of at least three (3) members.

  2. Study and recommend new designs to meet the needs as they arise, including incorporating existing items and/or new items for all bands and directors of the Mason City Schools.

  3. Be responsible for maintenance and upkeep of the uniforms.

  4. Maintain control of the issuing and the return of all uniforms.

  5. Provide maintenance and upkeep for the areas designated as storage for the uniforms

  6. Perform all duties as assigned by the President or the Executive Committee.

  7. Perform all duties designated by the Constitution, By-Laws, and Standing Rules of the Mason Band Boosters, Inc.

Concessions Committee:

The Concessions Committee shall:

  1. Be composed of at least three (3) members.

  2. Have a Chairperson who will oversee the concessions.

  3. Be responsible for recruiting adequate numbers of volunteers to work in the concessions stand(s).

  4. Procure food and other items as needed for the concessions stand.

  5. Have their own a separate concessions bank account from which to operate. At the end of the concession season, all but $1000 will be turned over to the general fund of the Mason Band Boosters, Inc. The $1000 will be start-up money for the next year.

  6. If The Concession Chairperson will have signing authority on the concessions bank account and, therefore, he or she they shall be bonded.

  7. Maintain accurate weekly records of purchases, beginning and ending inventory and persons who work in the concessions area. Give a weekly accounting to treasurer.

  8. Prepare a monthly written financial report including expenditures, receipts, records of purchases, and inventories to be given to the Executive Committee and/or General Membership meeting.

  9. Prepare an annual financial report to be presented to the Executive Committee at the close of the concession stand which is after the last home football game of the season.

Pit Crew Committee:

The Pit Crew shall:

  1. Have a chairperson who will be responsible for recruiting adequate numbers of helpers to carry out the crew’s responsibilities and who will work with the directors to determine what needs to be done during performances. The chairperson will coordinate the tasks of the Pit Crew.

  2. Be responsible for maintenance and repairs of field equipment, props, storage bins, and other items used for transporting the marching band equipment and uniforms.

  3. Perform all duties as assigned by the President or the Executive Committee.

  4. Perform all duties designated by the Constitution, By-Laws, and Standing Rules of the Mason Band Boosters, Inc.

Band Camp Committee:

The Band Camp Committee shall:

  1. Be composed of at least three (3) members

  2. Have a chairperson who will be responsible for recruiting committee members and overseeing the duties of the committee.

  3. Work with the directors to coordinate with their schedules and needs

  4. Plan and make arrangements for fun activities during band camp

  5. Plan and provide for meals as required during band camp

  6. Work with the chaperone chairperson to determine how many chaperones are needed during camp activities.

  7. Perform these duties for both Marching Band Camp in the summer and Concert Band Camp in the winter.

  8. Perform all duties as assigned by the President, Directors, or Executive Committee

  9. Perform all duties designated by the Constitution, By-Laws, and Standing Rules of the Mason Band Boosters.

Awards Committee:

The Awards Committee Shall:

  1. Be composed of at least two (2) people

  2. Have a chairperson to oversee the duties of the committee

  3. Meet with the directors to determine the dates of award ceremonies and the types and numbers of awards needed

  4. Be responsible for keeping an inventory of awards on hand and ordering awards when necessary

  5. Plan and coordinate the Fall Marching Band Awards Banquet

  6. Coordinate the Spring Concert Band Awards Ceremony

  7. Perform all duties as assigned by the President or the Executive Committee

  8. Perform all duties designated by the Constitution, By-Laws, and Standing Rules of the Mason Band Boosters, Inc.

Volunteer and Telephone Committee:

The Volunteer and Telephone Committee shall:

  1. Be composed of at least three (3) members

  2. Have a chairperson responsible for overseeing the duties of the committee
    C. Develop a means for booster members to state preferences for volunteer opportunities and for collection of that information

  3. Be responsible for keeping track of members’ preferences and creating volunteer lists
    E. Be responsible for giving volunteer names and phone numbers to the appropriate committee chairperson.

  4. Make telephone calls as needed to recruit volunteers for committees and other booster activities, and to promote attendance at meetings.

  5. Perform all duties as assigned by the President or the Executive Committee

  6. Perform all duties designated by the Constitution, By-Laws, and Standing Rules of the Mason Band Boosters, Inc.

Public Relations Committee:

The Public Relations Committee Shall:

  1. Be composed of at least three (3) members

  2. Have a chairperson responsible for overseeing the duties of the committee.

  3. Be responsible for promoting the Mason Band program to the community through advertising, submitting articles to local newspapers and t.v./radio stations regarding band concerts, honors, and other activities as much as possible.

  4. Work for and maintain a good relationship between the community and the Mason Band Boosters, Inc.

  5. Perform all duties as assigned by the President or the Executive Committee.

  6. Perform all duties designated by the Constitution, By-Laws, and Standing Rules of the Mason Band Boosters, Inc.

Band Photo Committee:

The Band Photo Committee shall:

  1. Be comprised of at least two (2) members

  2. Have a chairperson responsible for overseeing the duties of the committee.

  3. Meet with the directors to determine the dates for formal Marching Band and Concert Band Photos.

  4. Contact Lifetouch Photos to make arrangements for photos on those dates.

  5. Coordinate set-up, access to the school, schedule, etc. for the photos.

  6. Contact the bus garage (through the directors) to be sure the semi is at the school and unloaded in time for the photos.

  7. Arrange for distribution of fliers to be sent home with students announcing the photo dates and instructions.

  8. Perform all duties as assigned by the President or the Executive Committee.

  9. Perform all duties designated by the Constitution, By-Laws, and Standing Rules of the Mason Band Boosters, Inc.

Marching Band Senior Night Committee:

The Marching Band Senior Night committee shall:
A. Be comprised of at least three (3) members
B. Have a chairperson responsible for overseeing the duties of the committee.
C. Confirm that the location of the banquet has been determined and that the space has been reserved by the Travel secretary.
D. Plan and coordinate the set-up, decorations and program for the evening, including being sure flowers and awards have been ordered.
E. Determine the type of food needed and recruit volunteers for providing the food.
F. Perform all duties as assigned by the President or the Executive Committee.
G. Perform all duties designated by the Constitution, By-Laws, and Standing Rules of the Mason Band Boosters, Inc.

After Prom Committee:

The After Prom Committee shall:

  1. Be comprised of at least two (2) members

  2. Have a chairperson responsible for overseeing the duties of the committee.

  3. Be in contact with the Mason High School After Prom Committee to determine an appropriate activity for the band to sponsor

  4. Make appropriate arrangements and recruit necessary volunteers to carry out the activity.

  5. Perform all duties as assigned by the President or the Executive Committee.

  6. Perform all duties designated by the Constitution, By-Laws, and Standing Rules of the Mason Band Boosters, Inc.

Marching Band Drill books and Black Books:

The Drill Books and Black books committee shall:

  1. Have a chairperson responsible for recruiting an adequate number of volunteers to perform the required tasks and for overseeing the duties of the committee.

  2. Work with the directors for instructions as to what needs to be included in the books

  3. Assemble the Drill Books and Black Books in a timely manner as requested by the directors.

  4. Perform all duties as assigned by the President or the Executive Committee.

  5. Perform all duties designated by the Constitution, By-Laws, and Standing Rules of the Mason Band Boosters, Inc.

Chaperone Committee:

The Chaperone Committee shall:

  1. Have a Committee Chairperson who will be responsible for securing chaperones as needed for band activities. A head chaperone must be appointed for every event and that name should be communicated to the executive committee.

  2. Be responsible for securing at least two chaperones per bus for all away football games, competitions, and any other events that might require chaperones.

  3. Be certain all chaperones comply with any school, local, or state requirements or policies.

  4. Maintain accurate band member lists for the chaperones.

  5. Provide the chaperones with 1) a band members list, 2) clip board, 3) pencil, 4) garbage bag, 5) medical bag, 6) Emergency Medical Forms, 7) Walkie Talkies or cell phone numbers for those designated on the trip i.e. Director, Head Chaperone, Trip Coordinator, Pit crew to ensure good communication.

  6. Perform all duties assigned by the President or Executive Committee.

  7. Perform all duties designated by the Constitution, By-Laws, and Standing Rules of the Mason Band Boosters, Inc.

Marching Band Competition Committee:

The Marching Band Competition Committee shall:

  1. Have a chairperson who will be responsible for recruiting chairpersons for each of the marching band competition sub-committees as described in the Competition Committee Description, oversee the recruitment of volunteers, and oversee the entire Marching Band Competition to ensure timely accomplishment of all required tasks.

  2. Perform all duties as assigned by the President or the Executive Committee.

  3. Perform all duties designated by the Constitution, By-Laws, and Standing Rules of the Mason Band Boosters, Inc.
